For care providers that hold a sponsor licence

Keep your licence. Keep your team.

Care-worker roles closed to new overseas recruitment on 22 July 2025.1 The people you sponsor now are the people you have. MyCareGuard watches their visa dates, checks every pay run against their CoS salary and counts your reporting deadlines, on the staff list you already keep.

£99 + VAT per service a month, sponsor-licence module included. No card.

Your licence is your workforce

If the licence goes, the Home Office will normally cancel the permission of everyone you sponsor.2 You cannot replace them from overseas.1 So the job is no longer hiring; it is not missing a date, a report or a pay check.

What MyCareGuard takes off your desk

  • Finding out about a visa expiry too late

Every sponsored worker’s visa and CoS date sits on their staff record. Anything within 90 days, or already past, is on one list. You see who needs an extension while there is still time to act.

  • The short week that becomes an unreported pay change

When hours vary, pay can fall below the salary on someone’s certificate. Paying below the CoS salary without telling the Home Office is on its list of reasons to revoke a licence.3 Pull each posted pay run from Xero Payroll, or upload it (weekly, fortnightly, four-weekly or monthly), and every sponsored worker’s pay is checked against their CoS salary. Anyone paid below it opens a reporting entry with the 10-working-day clock already running.

  • Counting working days in your head

Log a change and the diary counts the Home Office deadline for you: 10 working days for a worker’s change, 20 for a change to your organisation.4 Open and overdue items also show on your Home “Do next” list and as a count on the menu, so they are in front of you every time you log in.

  • “Who checked what, and when?” on the day of a visit

Right-to-work checks are recorded on each person’s staff record with the document you saw; a time-limited permission sets its own follow-up date.5 Each sponsored worker’s employment-rights information is recorded with the date they acknowledged it. Your Key Personnel register (Authorising Officer, Key Contact, Level 1 and Level 2 users) shows what is due for each, and emails you when one of their dated duties comes up.

Three steps, on the staff list you already have

  1. Tick who is sponsored. Your staff list is already in MyCareGuard (bring it across in one CSV if it isn’t). Mark each sponsored worker and add their CoS reference, route, dates and salary, or drop in their CoS PDF and check the details it fills in.
  2. Pull or upload each pay run. Connect Xero Payroll and pull a posted run, or upload a pay file. Every payslip is matched to a sponsored worker and checked against their CoS salary. Anything below it is in the diary with its deadline before you have closed the spreadsheet.
  3. Work the diary. You make each report yourself on the Home Office system (SMS), then mark it done. The diary keeps the record of what you reported and when, and we email you 5 and 2 working days before each deadline, and on the day.

Works with your payroll

  • Xero Payroll ✓
  • Staffology ✓
  • Employment Hero Planned

Connect Xero Payroll or Staffology from Service profile → Integrations. The pay check pulls a pay run itself, read-only, and either can bring the people on your payroll onto your staff list in one go. Any other payroll works through a pay-run file.

Included in the plan

The sponsor-licence module is part of MyCareGuard, not an add-on. £99 + VAT per service a month, or £990 + VAT a year. Groups pay less per service as they add them: 2–5 services £79, 6–10 £64, 11 or more £54, a month + VAT. 30 days free, no card, cancel anytime.

Questions a buyer actually asks

Is this an extra charge on top of the £99?

No extra charge. It is part of every MyCareGuard plan, single service or group. Switch it on from About your service and it appears on the staff list you already keep.

We keep our staff on a rota system. Do we type everyone in again?

Bring the whole list across in one CSV upload, then tick who is sponsored and add their certificate details, typed or read from their CoS PDF.

Our carers’ hours change every week. How does the pay check cope?

Tell it how often you pay. Weekly, fortnightly, four-weekly and monthly figures are annualised and compared with each worker’s CoS salary. Anyone who falls below opens a reporting entry with the 10-working-day deadline counted for you, so a quiet week is caught before it becomes a missed report.

What happens when a deadline is coming up?

It is on the reporting diary, on your Home “Do next” list and as a count on the Sponsor licence menu row until you mark it reported. You make the report itself on the Home Office system; the diary keeps the dated record. We also email you and your service’s admins 5 and 2 working days before each deadline, and on the day.

Does it cover right-to-work checks as well?

Yes. Record the document you checked on each person’s staff record; a time-limited permission sets a follow-up date so the re-check is not forgotten.5 It records the check you made; the check itself is still yours to do.

Can we still take on sponsored care workers at all?

Yes, from inside the UK, until 22 July 2028 under the current rules.8 Someone already sponsored as a care worker, for example after their last employer lost its licence, can move to you and later extend or settle.6 Whether a particular person qualifies for a certificate is a question for the rule itself or your immigration adviser;7 once they start, add them to the register and their dates are watched like everyone else’s.

MyCareGuard is a deadline and evidence diary. It does not file anything with the Home Office, assign a certificate or decide who qualifies for one; you still make every report yourself on the SMS.
